For our longstanding and well-known client, F. Hoffmann-La Roche AG, we are looking for a long-term temporary assignment for the Basel site as a

Your main responsibilities will include:

  • Manage agenda, c-Suite (Jamboard, Trello board, gSuite) and action items for the meetings
  • Travel and meeting organization worldwide in co-operation with the in-house travel centre, other Roche locations and/or external parties if needed
  • Organize teleconferences and videoconferences as well as ordering supplies, catering etc.
  • General administration tasks and act as a contact person for general requests involving the team (such as office movers, office set-up, office supplies etc.)
  • Keep databases and team sites up-to-date, as well as team and other stakeholder contact lists and filing information
  • Organize and co-ordinate of internal and external meetings as well as being involved in preparation of offsite meetings.
  • Support team members
  • Budgetary responsibilities (Purchase Order, Invoicing processes)
  • Delegated authority for MyBuy and CIDM approval
  • Support HR processes such as interview organisation and onboarding of new employees, assistance to new employees with the onboarding programme
  • Deputize for absences of the team assistants
  • Deputize Time Management Responsible
  • Participate in the development of structured processes, procedures and subprojects
  • Coordinate with the assistants team, ensuring that goals and objectives are met

Must haves:

  • Min. a commercial Diploma or similar
  • Min. 10 year’s work experience preferably in multicultural environment
  • Previous Roche experience
  • Good knowledge of IT tools and Google Suite
  • Extended Roche-internal network across functions and departments
  • Excellent understanding of Roche-internal structure and processes
  • Well organized, proactive, solution oriented and a team-player, with strong interpersonal and communication skills
  • Expert command of electronic communication and business tools
  • Ability to effectively manage conflicting and changing priorities and perform in a collaborative team environment, focusing on the impact
  • A can-do, positive mindset with creative new ways of working attitude to resolve topics
  • You are fluent in written and spoken English and German
